Specific duties:
- Manage Supervisor’s routine correspondence, including all email, on how best to route certain questions and inquiries and respond to selected messages.
- Compose routine correspondence and draft documents on own initiative or from brief notes or oral instructions, referring to other sources for detailed information.
- Translate documents and correspondence as needed, from local language (Spanish) to English and from English to local language (Spanish).
- Coordinate high level meetings, including booking rooms, organizing catering, putting together board packets/documents and corresponding with each participant in advance of as well as after the meeting. Record and distribute meeting minutes.
- Provide support to other members of the department as required. In absence, ensure that requests for action or information are relayed to the appropriate person and process expense reports and reimbursements, including cash and credit card expenses, advance payments, per diems: gathering receipts, prepare the journal and select method of payment, and send to Program Administrator for authorization.
- Organize travel arrangements for the supervisor, including purchase of airline tickets, hotel reservations, as well as creating and maintaining a schedule for all trips.
- Process supervisor’s official expenses and reimbursements (e.g. utility costs), ensuring timely payment of invoices and credit card.
- Maintain contacts, files and databases for the supervisor up to date, including entering new contacts and updating current ones.
Requirements
- Bachelor’s degree in Logistics, Business Administration, International Business Administration or similar.
- Minimum of 6 years in a similar position and activities.
- Advance English Level (C1).
- Advanced proficiency in Microsoft Office.
