ADMINISTRATIVE ANALYST WA LEVEL 3 CLIMATE ACTION

The Africa Rice Center (AfricaRice) is seeking a highly qualified the Administrative Analyst WA level 3 Climate Action who will be based at Dakar, Senegal. S/He will work under the supervision of the Manager Climate Action.

Position purpose
The Administrative Analyst WA 3 level Climate Action support and collaborate Climate Action support team from the West and Central Africa region, with all administrative and logistics matters of the Climate Action lever in cooperation with the center’s supporting offices.
Position responsibilities
The duties and responsibilities of the Administrative Analyst will include the following key
interventions:
• Be the administrative analyst focal point for urgent matters in West and Central Africa,
supporting the team leaders located in the region, facilitating and reducing response time for
administrative functions.
• Provide support and carry out administrative and logistical procedures for the projects units
that manage funds through the Alliance Bioversity CIAT.
• Process all travel requests, ticket flight options, ticket requests, monitoring of the trip
(departures/arrivals on time, advance travel processing, insurance, visas, requirements and
attention for urgent cases mostly West and Central Africa requests), legalization and
reimbursement of expenses.
• Provide guidance and assistance for the coordination and organization of events, including
several high-profile international conferences in collaboration with partners and / or donors
in West and Central Africa.
• Support key event tasks in West and Central Africa such as planning and execution of logistical
support for all meetings, workshops and conferences related to the lever, both internal and
external.
• Support and collaborate with the lever teams in the design of workshops and meetings at
national and international level.
• Execute the process of reimbursement of expenses through organization of invoices, payment
authorizations and collection accounts that are generated for the different workshops and
meetings.
• Execute all procurement requests (office supplies, material for events, business cards, etc.)
related workshops and meetings mostly in West and Central Africa region.
• Support monthly meetings of the lever teams.
• Ensure that donor rules regarding the use of funds for services, trips, events, and
consultancies are enforced (Collection and correct registration in Share Point of required
documentation).
Qualifications/Selection Criteria
Education: Master Professional in Business Administration, Finance, or related fields.
Work experience and key competencies required:
• Minimum Three (3) years of work experience in similar positions.
• Proven ability to integrate, inspire and develop multidisciplinary teams and manage talent,
with a strong commitment to promoting diversity, knowledge sharing, and staff development.
• Demonstrated ability to work effectively as part of a team with people in a multi-cultural and
multidisciplinary environment, including with external stakeholders, and excellent
interpersonal skills.
• Ability to provide a high level of service under pressure.
• Intermedium – Advanced level of English (Oral, Writing and Comprehension skills).
Languages
The candidate should be able to communicate fluently (orally and in writing) in English or
French and have a good working knowledge of the other language. A working knowledge of
local languages spoken will be an asset.
Terms and Conditions
• This is a local position and therefore only eligible candidates are Senegalese nationals or
foreigners residing in Senegal at the time of submission.
